Med spa software for 2–5 providers
At 2–5 providers, the decision is rarely “which platform has the most features?” The useful question is which system fits your actual clinical depth, operating complexity, budget, migration risk and growth plans without forcing you into unnecessary software.
Check your practice →Start with your hard requirements first: e-prescribing, clinical charting, consent, before/after photos, injectable lot tracking and any patient-level recall requirements. Then compare softer trade-offs such as support, migration, contract flexibility, marketing, memberships, inventory and integrations.
Why provider count alone is not enough
Two providers plus a receptionist and an owner can need four user accounts. Five providers sharing one location have different scheduling and reporting needs from five working across two locations. Count everyone who needs access, then test your actual treatment and payment workflows. A feature list alone will not tell you how much setup or staff training is needed.
What to decide before booking demos
- Clinical depth: Do you need basic booking and forms, or true clinical charting, e-prescribing and injectable workflows?
- Migration: If you are switching, exactly which client profiles, forms, treatment history, photos, memberships and packages must transfer?
- Growth: Will the practice remain one location, or are you planning a second location?
- Operations: Are memberships, inventory, CRM/marketing and integrations central to how you make money?
- Commercial terms: Compare total first-year cost, add-ons, implementation, contract length and cancellation terms—not just the advertised monthly price.
Compare all 8 platforms for a small team
Use this table to choose demos, then use the calculator to apply your exact requirements. The order is alphabetical, not a ranking. “When to investigate” is our editorial interpretation of the linked vendor documentation, not a hands-on test or a guarantee of suitability.
Sources reviewed October 13, 2026. These are vendor-published capabilities; inclusion in your plan, implementation quality and suitability for your practice still need confirmation. This guide does not refresh the calculator’s separately dated evidence or pricing dataset.
On small screens, scroll the table sideways to read the demo and quote questions.
| Platform | When to investigate | What to resolve in the demo and quote |
|---|---|---|
| AestheticsPro | You want an aesthetics-focused EMR with forms and an e-prescribing option. Plan details and limits | Pro-Plus lists two included users and a three-user maximum; Executive lists unlimited users. Count front-desk and owner access as well as providers, and price any required add-ons. |
| Boulevard | You want booking and memberships alongside forms, charts, photos and prescribing workflows. Medspa workflow documentation | Have the vendor identify the clinical bundle and ePrescribe charges for your location and prescribers. Demonstrate intake, chart review and checkout as one complete visit. |
| Mangomint | You need consent forms, SOAP notes and photo markup connected to the client record. Forms and charting documentation | Confirm Forms & Charting pricing for your team. If prescribing or patient-level recall is essential, require a separate live demonstration; forms and photos do not establish those capabilities. |
| Pabau | You want clinical records, consent, scheduling and payments in a connected clinic workflow. Clinic workflow documentation | Confirm the US plan, all staff accounts and any add-ons. A general prescriptions feature is not proof that your prescribers, states and pharmacy network are supported. |
| PatientNow | You want an EMR plus booking, photos, memberships and marketing. Plans and optional modules | Get a written quote for the named edition, user capacity and eRx. Its pricing page lists eRx within Catalyst and as an optional add-on; do not assume it is included in every quote. |
| Phorest | You want treatment documentation alongside retention campaigns and client communications. Medspa features | Test the chart and consent workflow for your treatments, then confirm campaign limits, messaging charges and the exact clinical functions in your package. |
| Vagaro | You want to evaluate medspa patient records alongside booking and business operations. Medspa product overview | Request the total for every provider calendar and required clinical module. Use an actual treatment-documentation example; a low starting price does not establish the cost of your complete setup. |
| Zenoti | You need clinical documentation with shared operations as the practice grows across locations. Clinical and location workflows | Request a quote for your current team, then for a second location. Demonstrate a workflow that justifies the setup and training effort. Small size alone does not rule it out; added complexity alone does not make it worthwhile. |

Three practical demo scenarios
These are illustrative buying scenarios, not customer case studies or observed product tests. Apply the same scenario to each shortlisted vendor.
2 providers: first system, one location
Profile: two providers, one receptionist, memberships and a monthly software budget below $200. Start by requesting a quote for three separate user accounts and the provider calendars you need.
Demo: book a treatment, collect consent, redeem a membership and issue a partial refund. Ask the receptionist to repeat it. Reject any quote that omits a required module from the budget calculation.
4 providers: switching a clinical practice
Profile: one location, e-prescribing, treatment photos and existing memberships. Filter for hard requirements before comparing convenience.
Demo: use a fictional patient with a treatment history, signed form, photo and membership balance. Ask the vendor to show how each item would be imported and exported. Get the migration scope, exceptions and prescribing charges in writing before scheduling a changeover.
5 providers: planning a second location
Profile: memberships, shared patient records and inventory across two sites. Request both a one-location quote and a two-location quote.
Demo: book at the second site, redeem a membership purchased at the first, restrict staff permissions and inspect location-level reporting. If injectable recall tracing is required, use a fictional lot number and ask for the affected patient list; an inventory count is not the same workflow.
Compare quotes using the same first-year cost
Ask every vendor to quote the same providers, staff accounts, calendars, locations and must-have modules. Separate fixed subscriptions from usage-dependent fees.
- Recurring software: 12 × the monthly total for the base plan, users/calendars, locations and required modules.
- One-time costs: setup, migration, training and required hardware.
- Switching costs: contract overlap, termination charges and staff time. Keep staff time separate from vendor fees.
- Variable costs: payment processing, messaging and other usage charges, calculated with the same transaction and message volumes for every quote. Include taxes where applicable.
Illustrative arithmetic, not a vendor quote: $250 per month × 12 + $600 setup + $400 migration + $300 contract overlap = $4,300 in first-year fixed cash costs, before usage fees, taxes, hardware and staff time. That is more informative than comparing a $250 subscription with an advertised entry price.
Turn the comparison into a shortlist
Enter your actual provider and location count in the calculator, select hard requirements, then compare the leading eligible options. Read the evidence dates and unresolved gaps. A close score is a reason to compare demos, not proof that the first result is better.
Compare them for my practice →Questions worth asking every vendor
Ask vendors to demonstrate your real workflow rather than presenting a generic feature tour. If switching, use a sample migration scenario. If injectables matter, ask them to show lot/batch documentation and, where required, how a recalled lot can be traced to affected patients and remaining stock. Confirm current plan-level availability and pricing directly with each vendor.
