Map the document journey
List the information collected before an appointment, the documents assigned to each service and the person responsible for review. Separate general patient information from treatment-specific documentation. Ask the clinical lead to determine the content and required process.
Draw the flow from booking to the completed appointment: document assigned, patient receives it, submission arrives, staff reviews it and the correct record is available during the visit. Add a visible exception for each missing or changed step. A form marked complete should not automatically imply clinical clearance.
Trigger the right documents for the booked service
Test a new booking, a changed service and a second appointment. Confirm that the system assigns the intended document version and avoids unnecessary duplicates. A patient may have a general intake on file while still needing a separate treatment-specific process.
Pabau documents service-linked forms and storage in the client record. Treat this as an example of functionality to demonstrate, not a universal standard or proof that a particular form meets your practice’s obligations. The document’s content and use need appropriate review.
Make review a task with an owner
Decide who sees an incomplete submission and who reviews a completed one. Ask how staff flag a question, request a correction and record that it has been addressed. Keep the original and subsequent record context available as appropriate to the practice’s process.
Use synthetic answers in demos. Ask a restricted administrative account and an authorized clinical account to open the same workflow. Verify that each role sees only what it needs, and that a clinical question is routed to an appropriate reviewer.
| Stage | Acceptance test | Exception to include |
|---|---|---|
| Assignment | Correct form follows the service | Service changes after booking |
| Submission | Record is linked to patient and appointment | Duplicate profiles |
| Review | Named person can resolve a flagged answer | Reviewer absent |
| Retrieval | Historical version can be located | Template changes later |
| Exit | Export remains readable and associated | Attachments separate from form |
Evaluate privacy and access deliberately
HHS ties HIPAA obligations to the organization’s status and activities. Determine applicability with qualified advisers. For covered organizations using cloud services that handle ePHI, review relevant business-associate terms and the division of security responsibilities.
Ask vendors how roles, audit information, record access and export work. Keep the request tied to your actual configuration. A completed software checklist or a vendor marketing claim is not a legal determination about the practice.
Rehearse the exceptions before launch
Run a changed appointment, a missing form, a corrected submission and an unavailable reviewer. Check that the front desk can identify the next action without interpreting clinical answers. Have the clinical lead accept the completed workflow.
For a migration, compare the old and new record for selected representative cases using an approved secure process. Count documents and verify association, readability and version context. An imported PDF existing somewhere in storage does not prove staff can find the right form at the visit.
Turn the findings into selection criteria
In the matcher, identify charting, consent and photo requirements separately. Use the returned evidence gaps to direct follow-up demonstrations. Keep unresolved requirements explicit; a convenient intake screen should not outweigh an unproven record workflow.
Put your requirements to work
Compare candidates against your practice profile. Review evidence gaps, then verify the exact workflow and quoted plan in a demo.
